Full-Time, In-Office Position

We operate a technology-oriented law firm (intellectual property law) with a goal of providing unexpectedly great service. We also operate an innovative co-working space for lawyers called Engage Workspace for Lawyers. We are looking to add a customer-service minded individual to provide “concierge level” service to clients of both businesses.

The primary responsibilities for this position include managing typical front desk/reception duties (greeting visitors, answering telephones, managing conference rooms and café), but also include administrative and operational tasks that provide the candidate with strong opportunities to develop additional professional skills such as marketing and public relations assistance, legal administrative support, and business operation skills.

Ideal candidates will have a passion for providing exceptional customer service as well as experience in an administrative capacity. 

Success for this position requires a high level of organization and attention to detail, working at a fast pace occasionally, and an engaging, service-oriented mindset. We also require someone that has a great attitude and puts others first, as that is the Firm’s first and primary core value.

Core Responsibilities — Coworking space

  • Reception duties including answering and screening all incoming and outgoing phone calls and faxes

  • Opening and closing reception area by assigned office hours each day (Monday through Friday, 8:30 a.m. – 5:30 p.m.)

  • Greet clients and guests with an immediate and sincere welcome

  • Maintain conference room reservations and organization

  • Coordinate with sub-tenants and address requests on a daily basis

  • Manage café and food and beverage needs

  • Retrieve and distribute mail daily, as well as FedEx runs and delivery acceptance

  • Manage and order office supplies

  • Provide professional and high-end service to all clients

  • Track and report café and office supply budgets/expenditures

  • Assist with events and marketing campaigns, as needed; track RSVPs; communicate with attendees

  • Compile weekly and monthly reports for Leadership team

  • Conduct tours and manage leads for the coworking office space

  • Publish final versions of blog posts and social media posts to designated platforms

  • Create Google calendar events and execute on our event processes

Core Responsibilities — Law Firm

  • Manage Firm’s CRM database

  • Phone screen leads that call into the Firm

  • Enter leads into Leads CRM and email screen leads

  • Assist with digital marketing (blog posts, social media posts, events management) and other marketing activities

  • Assist with public relations activities (booking podcast speaking opportunities, inviting people to participate in blog interviews or guest blog posts, booking other speaking opportunities)

  • General administrative support to the Firm


Professional Growth Opportunities

While an entry-level position, this role provides the qualified candidate with significant personal and professional growth opportunities. An employee in this role, that exceeds expectations, may qualify for an opportunity to be promoted off the Front Desk and into the Firm in an operations administrative role such as a Client Services Coordinator or some other role. Another opportunity is for the employee to take on more operational responsibilities for running the Engage Co-Working Space beyond the Front Desk. This career progression requires exceptional performance in the Front Desk role and a clear commitment to the Firm’s Core values, Mission, and Vision. We also expect the candidate to demonstrate an ability to handle the additional responsibilities of the new role before a promotion will be considered.

We view the Front Desk as a critical position for both the Engage Co-Working Space and the Firm because our Front Desk Coordinator is often the person who creates the initial impressions on clients, visitors, vendors, leads, and others that interact with both businesses. We see this role as an essential part of the team. Previous experience providing “concierge-level” service whether at a law firm, hotel, retail, or other high-touch professional services business — or at least the demonstrated ability and drive to provide that level of service — is a non-negotiable requirement for this position.

About You

  • Minimum of 3+ years experience in a similar role, preferably at a fast-paced law firm or other professional environment where customer service is essential to business success

  • Team player who anticipates the needs of others and works well in a close team environment

  • Detail-oriented

  • Natural sense of urgency to “get stuff done” and off the list

  • Organized and capable of handling projects in an efficient and effective manner 

  • Personal responsibility for each assigned task and follow through to completion by the assigned deadline

  • Positive attitude and genuine passion for the job and the Firm’s and Engage’s success

Skills and Requirements

  • Associate or bachelor’s degree required

  • Experience with answering multi-line telephones preferred

  • Strong computer skills including proficiency in Word, Excel, PowerPoint, and Canva

  • Experience with Apple/Mac is helpful

  • Familiarity with CRM database programs, or a willingness and ability to learn new software

  • Must be able to pass a criminal and credit background check and drug screen
