Position Overview

This is a dual Executive Assistant to the CEO and Litigation Assistant role serving as the operational hub of the legal team. The role is involves:

Case Management & Filings

  • Organizing and managing all state and federal filings

  • Project managing litigation and enforcement matters

  • Ensuring deadlines, pleadings, and campaigns move forward seamlessly

Executive Assistant to Darin

  • Full ownership of calendar management

  • Scheduling, prioritization, and workflow coordination

  • Acting as a gatekeeper and strategic support partner

Intake Support & Matter Management

  • Backup support for client intake

  • Opening and tracking new matters

  • Supporting transition of intake admin toward a more sales-focused role

This is a fully in-office position (Monday–Friday, flexible within reason on hours)

Ideal Candidate Profile

Required Experience & Competencies

  • 5+ years of litigation experience (paralegal, legal assistant, firm administrator, or case manager)

  • Texas State and Federal litigation experience

  • Background in intellectual property or commercial litigation

  • Highly organized and detail-oriented

  • Able to juggle multiple competing deadlines with urgency

  • Team-first mindset with strong ownership mentality

  • Comfortable operating in a fast-moving, high-accountability environment

Preferred

  • Certified Paralegal

  • Experience with Clio (very strong plus)

Year 1 Performance Objectives

1. Own Litigation Operations

Within the first 90 days, take full ownership of:

  • All case filings (state & federal)

  • Calendar tracking and deadline management

  • Matter organization and document control

Success looks like:

  • Zero missed deadlines

  • Clean, well-organized case files

  • Attorneys confident that matters are moving without constant oversight

2. Successfully Project Manage a Major Enforcement Campaign

Take lead operational responsibility for a high-visibility anti-counterfeiting campaign involving a well-known brand.

Success looks like:

  • Coordinated filings and tracking across jurisdictions

  • Clear communication across internal team members

  • Campaign running smoothly without escalation

3. Elevate Executive Support to a Strategic Level

Fully assume control of Darin’s calendar, scheduling, and workflow prioritization.

Success looks like:

  • Optimized schedule aligned with firm priorities

  • Reduced friction and interruptions

  • Darin able to operate at a higher strategic level

4. Strengthen Intake & Matter Onboarding Systems

Provide reliable backup for intake while helping transition current intake support toward revenue-generating activities.

Success looks like:

  • Seamless new matter openings

  • Clean data entry and case setup

  • No operational bottlenecks as responsibilities shift

Job Type & Location

  • Full-time, in-office (Dallas, TX 75206)

  • Monday–Friday, 8:30 a.m. – 5:30 p.m.

  • Up to $90,000 annual salary (based on experience) plus benefits package
